RECORDS MANAGEMENT ANALYST
GENERAL DEFINITION
This is records management analysis work at the full performance level. The class is
distinguished from the next lower level class by the broader scope and greater complexity of
assignments. Records management studies of entire departments serve as an important advisory
service in relating departmental records control operations to a city-wide records management
program. The employees are supervised by the Chief of Forms and Records Management.
TYPICAL EXAMPLES OF WORK (ILLUSTRATIVE ONLY)
- Examines and analyzes records management systems and procedures; analyzes work flow,
compliance with records retention and disposition schedules, retention value of records,
consolidation of records, office space utilization, organization and function of filing systems and
equipment, records retrieval requirements of department, overall relation of the utility of the
records to the functions of the department and the relationship with the entire city records
management program.
- Designs or improves records management systems and procedures based on problems
discovered through records retention audits and records management surveys.
- Performs special studies in the more complex areas, such as advising on the employment
of photographic reproduction techniques, evaluation of word processing equipment and microfilm
and other areas as they apply to records management systems.
- Confers with departmental officials on unit functions as they relate to records
management.
- Prepares and submits reports of recommendations concerning the establishment of new
or revision of existing record retention schedules, disposition schedules, and record management
procedures and techniques.
- Receives requests for filing, photo reproduction and duplicating equipment; recommends
justification or denial of requests on basis of cost and feasibility studies.
- Explains newly developed or revised records systems to departmental personnel and
instructs them in initial implementation; writes specifications for new equipment; works with
forms analyst to originate new forms; works with departmental officials to set up new floor plans
and redistribute duties among employees.
- Performs related work as required.
REQUIRED KNOWLEDGES, SKILLS AND ABILITIES
KNOWLEDGE OF:

current principles and practices of records management as related to a large organization.
- standard office practices and procedures including the application and function of records
keeping equipment and accessories commonly used in large scale records keeping
operations.
- the methods and techniques of administrative analysis pertaining to records control and
management.
- office equipment used to disseminate and retain information.
ABILITY TO:
- learn departmental organization and functions, especially as they relate to records
management.
- analyze complex records systems and to revise existing or design new systems.
- analyze department's need for word processing and duplication equipment.

MINIMUM ACCEPTABLE TRAINING AND EXPERIENCE

represents the minimum training and experience standards which will be used to admit or reject
applicants for tests. Applications submitted by candidates for this class will be reviewed based
on training and experience requirements as approved on 9/82.)
- Completion of a bachelor's degree program at an accredited college or university.
- Two years of experience in analyzing and developing records control systems in a large
private business or public jurisdiction, one year of which shall have been above the trainee level.
Or any equivalent combination of acceptable education and experience.
PHYSICAL AND MEDICAL REQUIREMENTS
- Ability to physically perform the duties and to work in the environmental conditions required of a position in this class.
