INVENTORY FIELD AGENT
GENERAL DEFINITION
This is specialized investigatory and advisory work in city-wide materials and supplies and personal property inventory control activity insuring adherence to prescribed standards and procedures. Working with stores personnel and others in maintaining inventory control practices and regulations is significant to the work. Work is performed under the general supervision of an inventory supervisor.
ALLOCATING FACTORS:
(The following conditions must be met for a position to be allocated to this class.)
- Positions in this class must be responsible for a city-wide inventory control activity.
- These positions must be located in the Procurement Department.
TYPICAL EXAMPLES OF WORK (ILLUSTRATIVE ONLY)
- Makes unannounced visits to City-operated inventory installations; takes count of items selected at random to ascertain if physical inventory agrees with inventory records; confers with stores personnel and reviews issue and receipt slips to reconcile differences; obtains copies of all inventory records to document inventory shortages; notes and processes the recording of additions, deletions and revisions to inventory unit price changes, condition codes, catalog numbers and commodity numbers to update city-wide inventory tapes; reviews security arrangements at field point; confers with stores officials and others to advise or assist them in problems affecting inventory operations; checks minimum and maximum stock levels to assure that they are in accordance with Procurement Department guidelines; recommends changes or additions to bring good practice and order to problem field points; prepares reports on field audits.
- Sends out procedures for upcoming inventory to agencies; makes recommendations on field points requests for exemptions from inventory; forwards computer listing at inventory time to participating field points; reviews completed cards before further processing in preparation for settlement listings; reviews field points changes to inventory and prepares control logs; reviews purchase orders to determine if agencies are adding new purchases to the inventory files; oversees physical inventory count at storerooms such as food commissaries and pharmacies.
- Codes purchase orders and separates by class; assigns classification numbers to equipment; issues inventory tags and property history cards; receives reports of scrap, theft, amended inventory, or sale of City property; processes inventory changes to the file; issues appropriate reports to City agencies, including the Finance Department and the City Controller.
- Makes special studies on the effects of stock levels, slow moving items and expense items on the inventory control; attends periodic staff meetings and discussions and devises new approaches to field problems; prepares city-wide analyses, evaluations and usage reports; forwards reports to departments for certification; interacts with the City's computer agency for the production of reports, cards, and listing, and to resolve associated data processing problems.

REQUIRED KNOWLEDGES, SKILLS AND ABILITIES
KNOWLEDGE OF:
- store-keeping methods and procedures and personal property control.

MINIMUM ACCEPTABLE TRAINING AND EXPERIENCE
(The following statement represents the minimum training and experience standards which will be used to admit or reject applicants for tests. Applications submitted by candidates for this class will be reviewed based on training and experience requirements as approved on 12/99.)
EDUCATION
- Education equivalent to completion of the twelfth school grade.
SPECIFIC EXPERIENCE
- One year experience as a Stores supervisor or Inventory Control Technician.
PHYSICAL AND MEDICAL REQUIREMENTS
- Ability to physically perform the duties and to work in the environmental conditions required of
a position in this class.
LICENSES, REGISTRATIONS AND/OR CERTIFICATES
- Possession of a valid proper class motor vehicle operator's license as issued by the Commonwealth of Pennsylvania prior to appointment and during tenure of employment as an Inventory Field Agent.
