COURT CLERK TRAINEE
GENERAL DEFINITION
This is clerical work at the training level in various criminal and quasi-criminal courts. Employees in this class learn the methods and techniques used to record, process and expedite a variety of legal records, documents and forms. The employees in this class also perform clerical tasks incidental to the judicial process, including data entry and retrieval techniques used to enter and extract information from computerized court case management systems. As experience is gained assignments increase in complexity and are performed with greater independence until they approach the full performance level. Work is performed under the supervision of a technical superior.
ALLOCATING FACTORS: (The following conditions must be met for a position to be allocated to this class.)
- The position must perform clerical work necessary to record, process and expedite legal records, documents and forms.
TYPICAL EXAMPLES OF WORK (ILLUSTRATIVE ONLY)
- Learns to assemble and review court files for the presence of pertinent legal records and documents, to prepare forms and printout sheets for court sessions, and to review printout sheets for inclusion of all data pertinent to the case.
- Learns the techniques used to record appropriate information and to complete required documents and forms based on court decisions.
- Learns to utilize a computer for data entry and retrieval.
- Receives training in processing the various forms used to implement commitment, discharge, bail, bond transfer, psychiatric examinations, presence of prisoners, appearances in court; learns procedures for the issuance of subpoenas and bench warrants upon court order and for their proper distribution.
- Attends court trials to observe courtroom procedures and the methods used in recording judicial decisions; learns the organization and functions of the various criminal and quasi-criminal courts and the legal terminology used in the various forms and documents.
- Performs related clerical work as required within the offices of the Clerk of Quarter Sessions including, but not limited to filing court records, transporting court records, and responding to court related inquiries, both in person and via telephone.
- Performs related work as required.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES
KNOWLEDGE OF:
- the English language and spelling
- office practices and procedures
- the purpose and format of a variety of legal documents, records and forms used in the different criminal and quasi-criminal courts
ABILITY TO:
- learn the operations and procedures required to prepare cases for court, to implement court decisions and to facilitate the work of the courts

- learn the purpose, functions and scope of the different criminal and quasi-criminal courts
- learn to prepare and process a considerable variety of legal documents

- establish and maintain effective working relationships with judicial authorities, lawyers, associates and the general public
MINIMUM ACCEPTABLE TRAINING AND EXPERIENCE (The following statement represents the minimum training and experience standards which will be used to admit or reject applicants for tests. Applications submitted by candidates for this class will be reviewed based on training and experience requirements as approved on 5/77.)
EDUCATION
- Education equivalent to the completion of the twelfth school grade.
AND
GENERAL EXPERIENCE
- One year of clerical experience.
AND
SPECIFIC EXPERIENCE
- One year of experience reviewing and extracting data from case files for criminal and quasi-criminal court cases.
OR
Any equivalent combination of education and experience determined to be acceptable by the Personnel Department.
PHYSICAL AND MEDICAL REQUIREMENTS
- Ability to physically perform the duties and to work in the environmental conditions required of
a position in this class.
