FLEET
STORES SUPERVISOR
GENERAL DEFINITION
This is first supervisory level automotive stores work. Employees
in this class may supervise clerical and/or stores personnel including responsibility
for planning, assigning, and reviewing the work of one or a group of stores
employees engaged in all phases of storeroom activities. An employee in this
class may perform inventory control and supply distribution work with the
responsibility for maintenance of perpetual inventory records, personal
property inventory records, and may involve the review and processing of
requisitions for the Office of Fleet Management. An employee in this class
performs and assigns various phases of the receipt, storage, distribution, and
recordkeeping activities for automotive parts supply items. Work is performed
under the general supervision of Fleet Stores Manager.

TYPICAL EXAMPLES OF WORK (ILLUSTRATIVE ONLY)
Supervisory Duties
- Plans, assigns, reviews, and participates in receiving, storing and issuing a wide
variety of automotive related items in accord with Fleet storeroom
policies
- Oversees and participates in taking periodic
inventory of items such as a facility’s maintenance equipment, automotive
parts, and automotive related general commodities, in a storeroom area
- Supervises the maintenance of various stock
records
- Trains Fleet Stores Workers in general shipping,
receiving and storage practices
- Enters data into a computerized system for
tracking purposes
- Assigns
the preparation of or prepares the necessary requisitions for stock
replacement
- Inspects items received for conformance to
purchase orders and general specifications and contract requirements
- Reviews and approves receiving reports
- May direct and review the work of lower-level
stores workers and/or clerks in the maintenance of perpetual inventory
records and requisition processing
- Instructs subordinates in proper recordkeeping
procedures
- Initiates
special recordkeeping procedures to account for items which, because of
frequency of use, unit of measure, or uniqueness are not included in the
perpetual inventory
- Recommends stores procedures to facilitate or
improve inventory control at stores points
- Reviews cost estimates of parts completed by
Fleet Stores Workers
Oversight of Ordering, Receiving and Storing Supplies
- Utilizes automated purchasing system to process
purchase requisitions
- Contacts vendors to expedite deliveries
- Contacts various departmental personnel to give
and receive needed stores information
- Reviews item descriptions in the computer system
and prepares new or revised item descriptions, in the computer system,
when necessary
- Forwards requisitions for materials and supplies
to proper sources
- Performs research and contacts multiple vendors,
when necessary, to obtain varying quotes in determining the lowest price
available for line item commodities
- Assigns
the preparation of or prepares the necessary requisitions for stock
replacement
- Acts as a liaison with vendors to resolve issues
pertaining to items ordered or items received, vendor expenditures, and
service quality
- May be responsible for performing Fleet Stores
Worker job duties at multiple storerooms at shops located designated as
Tier II, III, and IV
Inventory Database Maintenance
- Makes additions, deletions, and changes to
automated inventory database
- Prepares reports pertaining to field point
activities and supply usage
- Analyzes usage history and shelf-life of items,
and consults with departmental stores personnel to establish minimum and
maximum storage levels
- Reviews requisitions for quantity, adequate
description and accuracy to maintain proper stock control
- Analyzes and checks physical inventory records
Distribution and Surplus Maintenance
- Arranges for the transfer or disposal of surplus
or obsolete items, tracks, monitors, and tags all 400 class equipment in
accordance with Procurement Department inventory control procedures and
guidelines
- May recommend use of existing stock in instances
where items requisitioned are interchangeable with same
- May perform parts counter issuance or driver
pick up and drop off duties as necessary

MINIMUM ACCEPTABLE TRAINING AND EXPERIENCE (The following
statement represents the minimum training and experience standards which will
be used to admit or reject applicants for tests. Applications submitted by
candidates for this class will be reviewed based on training and experience
requirements as approved on 12/10.)
EDUCATION
- Education
equivalent to completion of the twelfth school grade.
AND
GENERAL EXPERIENCE
- One
year of experience receiving, storing, and issuing supplies and
inventoried
items.
AND
SPECIFIC EXPERIENCE
- Two
years of automotive Stores Supervisor experience receiving, storing, and maintaining
inventory control of fleet-related parts and materials in an automated
environment.
Or any
equivalent combination of education and experience determined to be acceptable
by the Office of Human Resources that has included the specific experience as
indicated above.
NOTE: The specific experience must have
been obtained within five years prior to examination.
NOTE: Current certification by the
National Institute for Automotive Service Excellence (ASE) in the automotive
parts specialty area may be substituted for the general experience requirement.
PHYSICAL
AND MEDICAL REQUIREMENTS
- Ability
to physically perform the duties and to work in the environmental
conditions required of a position in this class.
LICENSES,
REGISTRATIONS, AND/OR CERTIFICATES
- Possession
of a valid proper class motor vehicle operator's license as issued by the
Commonwealth of Pennsylvania prior to appointment and during tenure of
employment as an Fleet Stores Supervisor, if required by work assignment.
