DATA SERVICES SUPPORT CLERK SUPERVISOR
GENERAL DEFINITION
This is specialized clerical supervisory work with full time responsibility for seeing that the work
activities of a clerical staff of at least four employees engaged in full time specialized clerical work
maintaining file integrity of computerized master data files are performed efficiently and expediously.
An employee in this class supervises data entry, alteration, retrieval and maintenance of data base
information and the compilation and generation of a variety of computerized reports which require
selection and exclusion of specific data and data categories. Supervising the maintenance, accuracy,
completeness and integrity of assigned computerized master data files and records is a significant aspect
of the work. Work is performed under the supervision of an administrative supervisor.
TYPICAL EXAMPLES OF WORK (ILLUSTRATIVE ONLY)
- Makes assignments of work; supervises the accuracy, completeness and proper processing of
records, reports and other documents; reviews and makes recommendations for modifications for
modification to clerical and data entry procedures and processes in order to accomplish work goals and
objectives; provides subordinates with the interpretation of departmental regulations and/or city ordinances
as they apply to the clerical process; resolves problems relating to clerical processing; orients and trains
new employees; trains all employees in new data entry and retrieval procedures, care of computer
equipment, applicable computer languages and established policies and procedures regarding
confidentiality, integrity and security of assigned computerized records; reviews work in progress and
upon completion for completeness and accuracy by observing temporary file entries and permanent
records within the computer data base; directs manipulation of data base containing a variety of
information including service provision, operations and administrative and fiscal records, with content
of data base determined by departmental function; directs generation and preparation of a variety of
reports based on data base; spotchecks computer generated reports for accuracy and completeness.
- Supervises employees engaged in manual record-keeping, typing and other clerical tasks; may
perform computer data entry and retrieval and maintain file integrity of assigned master files and records.
- Schedules employee assignments and equipment usage to achieve maximum utilization of
personnel and equipment within workload limits; adjust assignments whenever necessary due to machine
breakdown or employee absenteeism; recommends procedural changes to supervisor; develops and
maintains equipment utilization reports.

REQUIRED KNOWLEDGES, SKILLS AND ABILITIES
KNOWLEDGE OF:
- on-line terminal entry and retrieval procedures appropriate to the responsibility for maintaining,
computerized master data files and records.
- office practices and procedures.
- the methods, standards, practices, care, adjustment and operation of computer peripheral
equipment.
- the principles, practices and techniques used in obtaining maximum utilization of computer
peripheral equipment.
- the English language, grammar and spelling.

- the operation of an interactive computer terminal, entering and retrieving data.

MINIMUM ACCEPTABLE TRAINING AND EXPERIENCE
(The following statement represents the
minimum training and experience standards which will be used to admit or reject applicants for tests.
Applications submitted by candidates for this class will be reviewed based on training and experience
requirements as approved on 9/87.)
- Education equivalent to completion of the twelfth school grade.
Three years of experience in clerical work, two years of which have been maintaining the
accuracy, completeness and integrity of computerized master data files and records.
OR
- Three years of experience performing clerical work, one year of which has been supervising the
keying, entry and verification of coded and uncoded information related to mechanical and
electronic recording of statistical, production and accounting data.
Or any equivalent combination of education and experience determined to be acceptable by the
Personnel Department.
PHYSICAL AND MEDICAL REQUIREMENTS
- Ability to physically perform the duties and to work in the environmental conditions required of a position in this class.
