DATA SERVICES SUPPORT CLERK

 

GENERAL DEFINITION

 

            This is specialized clerical work maintaining the accuracy, completeness and integrity of computerized master data files and records, utilizing word processing software and other computerized office applications. Work includes the creation of formats and data categories and temporary and master file data entry, alteration and retrieval and involves considerable manipulation of the data base. Employees in this class perform general clerical duties such as preparing and finalizing document materials such as correspondence, memoranda, reports, forms, legal materials, and other documents.  This class is differentiated from all other classes by the responsibility for maintaining file integrity due to employee capability to make direct data base alterations through use of a computer. Composing and generating a variety of reports which require selection and exclusion of specific data and data categories are significant aspects of the work.  Work is performed under the supervision of a clerical or administrative superior.

 

ALLOCATING FACTORS:  (The following conditions must be met for a position to be allocated to this class.)

 

1.    Positions must have sole responsibility for a set of master files and records, maintaining their integrity, accuracy and completeness.

2.    Positions must perform master file data entry, alteration, retrieval and considerable manipula­tion of data and data formats utilizing word processing software and computerized applications.

3.    Positions must compose and generate a variety of reports which require selection and exclusion of specific data and data categories.

 

TYPICAL EXAMPLES OF WORK (ILLUSTRATIVE ONLY)

 

            Reviews source materials and determines data to be entered; recalls information on a computer; compares source materials to computer stored information to determine if file records need updating; key enters changes and additions; checks printouts of processed data to correct errors in coding or input; consults system manual, source information and computerized records to resolve entry problems.

            Receives requests for a variety of information from computer records; retrieves data from computerized records, selects data from data base and key enters directions to compose reports; supplies print-outs as required.

            Maintains integrity of files and follows conventions for the use of equipment and programs; discovers program errors and advises supervisor; recommends changes for system improvement.

            Types short narratives such as memos, letters, descriptive information on forms; types extended narrative such as reports, legal documents and articles often involving technical terms and usages; types reports, charts, business, or technical data with numbers; compiles information and types from more than one source; proofs work; revises and corrects drafts using word processing editing features.

            May train others in the rules and procedures for data entry, coding and information entered and retrieved into or from the computer.

            Performs related work as required.

 

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

 

KNOWLEDGE OF:

 

·         agency procedures and routines related to assigned work

·         general clerical procedures and routines

·         computer data entry and retrieval procedures

·         the basic procedures for opening and closing software applications, working with files and folders to manage documents, and using various Windows applications

·         business English grammar, spelling, punctuation, and business formats and diction

·         the uses and capacities of assigned word processing software program and a personal computer

 

SKILL IN:

 

·         keyboard proficiency

 

ABILITY TO:

 

·         learn the application of the department's designated software package to file creation, data manipulation and master file maintenance

·         speak, read and write English

·         deal effectively and courteously with associates and, if required, the public

·         follow oral and written instructions

·         recognize and correct grammar errors

·         use computers and accessory equipment, and general office equipment such as photocopiers, facsimile transceivers, and dictation equipment

 

MINIMUM ACCEPTABLE TRAINING AND EXPERIENCE (The following statement represents the minimum training and experience standards which will be used to admit or reject applicants for tests.  Applications submitted by candidates for this class will be reviewed based on training and experience requirements as approved on 3/19.)

 

EDUCATION:

 

            Education equivalent to completion of the twelfth school grade.

AND

GENERAL EXPERIENCE:

 

            Two years of experience performing clerical processing tasks, which has included utilizing word processing software to perform data entry, and retrieval tasks using a computer.

 

PHYSICAL AND MEDICAL REQUIREMENTS

 

            Ability to physically perform the duties and to work in the environmental conditions required of a position in this class.
