COURT CLERK
GENERAL DEFINITION
This is full performance level clerical work recording, processing, and expediting a variety of legal records, documents and forms used in the various criminal and quasi-criminal courts. Employees in this class are responsible for preparing legal forms to implement court decisions, monitoring jury selection procedures, and advising as to correct court proceedings and decisions, and for accessing electronic information related to court case management. Contact with members of the judiciary, attorneys, parties involved in court proceedings, and representatives of related agencies is a significant aspect of the work. Work is performed under the supervision of a technical superior.
TYPICAL EXAMPLES OF WORK (ILLUSTRATIVE ONLY)
- Receives court files for cases scheduled for hearings and/or trials; assembles and reviews files for the presence of pertinent legal records and documents, including previous appeals, rulings and notes of testimony; accesses Court Case Management System and prints out necessary documents for cases; prepares forms and printout sheets for court session; reviews printout sheets for inclusion of proper information such as case number, names of plaintiffs, defendants, and attorneys of record; prepares additional sheets for cases omitted from printout; distributes printout sheets to designated officials within the courtrooms.
- Records pertinent information and completes appropriate documents and forms based on court rulings and decisions; records rulings and decisions on printout sheets, criminal transcripts, and/or bills of indictment; records rulings and decisions that pertain to petitions and orders, trial lists, and court documents; monitors jury selection procedures through the preparation and maintenance of the voire dire.
- Processes a variety of forms to implement commitment, discharge, bail, bond transfer, psychiatric examinations, presence of prisoners, appearances in court, payment of fines and/or costs, and other decisions and rulings of the court; issues subpoenas and bench warrants upon legal order of the court; assures that forms and documents are properly distributed.
- Answers inquiries from court officials as to documents and information contained within case files; informs judge if sentence imposed is not within parameters of charge; assures judge's signature is present on appropriate documents.
- Informs parties concerned of date and location of trial or hearing; contacts representatives of related agencies to convey or to obtain pertinent information for specific cases.
- Performs related clerical work as required within the offices of the Clerk of Quarter Sessions including, but not limited to filing court records, transporting court records, and responding to court related inquiries, both in person and via telephone.

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES
KNOWLEDGE OF:
- the operations and procedures of criminal and quasi-criminal courts
- the clerical procedures required to prepare cases for court, to implement court decisions, and to facilitate the work of the courts
- the purpose and format of a variety of legal documents, records and forms used in the different criminal and quasi-criminal courts
- interactive computer systems used to track and record court case information
- the English language and spelling
- legal methods and procedures
- criminal law as it pertains to sentences established for various offenses
- the purpose, functions, and scope of the different criminal and quasi-criminal courts
- legal terminology
ABILITY TO:
- prepare and process a considerable variety of legal documents
- understand and follow complex oral and written instructions
- enter and retrieve data from computerized systems
- maintain records and prepare reports
- establish and maintain effective working relationships with judicial authorities, lawyers, associates and the general public
MINIMUM ACCEPTABLE TRAINING AND EXPERIENCE (The following statement represents the minimum training and experience standards which will be used to admit or reject applicants for tests. Applications submitted by candidates for this class will be reviewed based on training and experience requirements as approved on 2/89.)
EDUCATION
- Education equivalent to the completion of the twelfth school grade.
AND
EXPERIENCE
- Three years of clerical experience, six months of which has been training level court clerk experience in a courtroom learning the methods and techniques used to
record, process, and expedite a variety of legal records, documents and forms used in the various criminal and quasi-criminal courts.
OR
Any equivalent combination of education and experience determined to be acceptable by the Personnel Department.
PHYSICAL AND MEDICAL REQUIREMENTS
- Ability to physically perform the duties and to work in the environmental conditions required of
a position in this class.
