CLERK STENOGRAPHER III
GENERAL DEFINITION
This is difficult secretarial and clerical work or independent stenographic work of
considerable responsibility. Employees in this class are usually assigned to positions as
secretary to departmental administrative officials. Work may include supervising a
moderately sized staff engaged in clerical work of a highly complex nature.
Work is performed under the general supervision of an administrative superior.
Assignments are stable in nature and are carried out in accordance with standard
secretarial practices and general work instructions.
TYPICAL EXAMPLES OF WORK (ILLUSTRATIVE ONLY)
- Takes and transcribes dictation; reads incoming mail, routes that mail not requiring
the supervisor's attention to proper officials or composes replies independently.
- Prepares board or commission meeting agendas, attends meetings, keeps records,
prepares drafts of minutes for administrative review; takes and transcribes verbatim
minutes of meetings.
- Gathers source materials for articles or speeches.
- Interviews callers and prospective employees; makes and cancels appointments for
superiors; receives complaints and requests for information, routes them for necessary
action, and composes and types replies upon receipt of information.
- Takes verbatim testimony at hearings or conferences where several participants are
involved; transcribes notes of testimony; edits and assembles final records.
- Supervises several clerical and stenographic employees engaged in performing
stenographic duties, keeping various clerical records and typing reports relating to
departmental or division operations.
- Prepares complex clerical records and reports from a variety of material involving
a knowledge of departmental practices and procedures and the use of difficult technical
terminology; composes and completes technical forms.
- Performs related work as required.
REQUIRED KNOWLEDGES, SKILLS AND ABILITIES
KNOWLEDGE OF:
- business English, spelling, punctuation, and arithmetic.
- office practices, procedures, and appliances.
- departmental rules, regulations, procedures, and functions, and the ability to apply
these to work problems.
ABILITY TO:
- type from clear copy and take dictation at a speed level and within accuracy limits
established to determine typing and stenographic skills.
- work independently on difficult or complex clerical tasks.
- maintain complex clerical records and to prepare accurate reports.
- exercise good judgment, courtesy, and tact in receiving office callers and in
making proper disposition of problems.
- plan, assign, review, and supervise the work of several clerical or stenographic
employees.
MINIMUM ACCEPTABLE TRAINING AND EXPERIENCE
(The following statement
represents the minimum training and experience standards which will be used to admit
or reject applicants for tests.)
- Education equivalent to completion of the twelfth school grade.
- Three years of experience as a stenographer.
- Completion of a two year post-high school business course may be substituted for
one year of experience.
PHYSICAL AND MEDICAL REQUIREMENTS
- Ability to meet approved minimal physical and medical standards.
