GENERAL DEFINITION

 

            This is complex clerical work performing clerical duties requiring the use of judgement in selecting which of several alternative courses of action to take based on a standard procedure and/or in following through with several procedures to complete a clerical process.  Assigning and checking the work of a small group of employees or assisting the public in properly executing forms to obtain licenses, permits and similar documents may be essential elements of the work in some assignments. Employees in the Keyboarding specialty perform typing tasks with principal emphasis on the difficulty of, and the responsibility for, data entry and related retrieval tasks.

            Work is performed under the close supervision of a clerical or administra­tive superior. 

            Assignments are stable in nature and are performed in accordance with instructions and established routines.  Employees in this class are responsible for the proper performance of assigned clerical tasks.

 

TYPICAL EXAMPLES OF WORK (ILLUSTRATIVE ONLY)

 

BILINGUAL SPECIALTY

 

            Performs the duties described below with English language speaking and designated non-English language speaking populations.

 

ALL SPECIALTIES

 

            Selects, from several sources, figures required for the compilation of reports; performs a varied number of necessary arithmetic computations to obtain cumulative, comparative or total figures; prepares reports to show a number of combinations of data.

            Posts to petty cash records; ascertains that requests for funds are proper; disburses funds; prepares forms for reimbursement.

            Gives information to or elicits information from the public necessary to properly execute forms to obtain licenses, permits or similar documents; screens forms to determine accuracy and completeness of information; determines and posts appropriate fees from fee schedules to forms; answers complaints.

            Makes assignments of work to a small group of employees, checking work upon completion; participates in work routines.

            Operates standard office equipment.

            Performs related work as required.

 

KEYBOARDING SPECIALTY

            Types correspondence, reports, accounting and financial statements, tabulations, vouchers, medical records and case histories; utilizes a computer for advanced data entry and retrieval tasks; posts to and balances accounting, financial and cost records, posts payroll; compiles reports and forms from other records; assigns and reviews the work of a small group of employees engaged in routine clerical and data entry duties.

 

REQUIRED KNOWLEDGE, SKILLS AND ABILITIES

 

KNOWLEDGE OF:

 

·         the English language and spelling

·         basic mathematics such as arithmetic

·         office practices, procedures, and standard office equipment

 

SKILL IN:

 

·         making varied arithmetic computations with speed and accuracy

 

ABILITY TO:

 

·         learn the operation of office machines to perform clerical functions

·         learn departmental functions and organization

·         learn provisions of and routine interpretations of City regulations and ordinances

·         maintain departmental clerical records

·         use a computer for data entry and retrieval for the Keyboarding Specialty

·         type at a speed level and within accuracy limits established to determine typing skills for the Keyboarding specialty

·         understand and speak the designated non-English language fluently for the Bilingual Specialty

ALL SPECIALTIES

EDUCATION:

 

            Education equivalent to completion of the twelfth school grade.          

 

 

 

PHYSICAL AND MEDICAL REQUIREMENTS:

 

            Ability to physically perform the duties and to work in the environmental conditions required of a position in this class.
